Getting your data into Sodium should be straightforward, not a weekend project. Whether you're migrating from another system, importing from a spreadsheet, or syncing from accounting software, Sodium provides the tools to make it painless.

And when you need data out - for reporting, compliance, or analysis - export to CSV or use the API for programmatic access to everything.

CSV Import with Field Mapping

Upload a CSV file and Sodium's field mapping wizard walks you through matching your columns to Sodium fields. The wizard previews how your data will look before committing, so you can catch issues early.

Import clients, contacts, and related data in bulk. The wizard handles different date formats, optional fields, and data validation automatically. Exports from tools like Pixie, Engager and BrightManager are recognised out of the box — client details, addresses, tax references, key dates, notes and AML provider links all land in the right fields.

Contacts Import

Many systems export companies and their people as separate files. Sodium has a dedicated contacts import for exactly this: import your clients first, then upload the contacts file, and every contact is linked to the right client automatically — matched by client name, with primary contacts becoming the client's main contact and directors linked with the right role.

Re-running an import is always safe: existing contacts are updated rather than duplicated, and any rows that need attention come back as a downloadable file with the reason for each, ready to fix and re-upload.

Platform Imports

Already using Xero, QuickBooks, or another platform? Import your client list directly through Sodium's accounting software integrations. Connect your account with OAuth, then pull in your client data with field mapping handled automatically.

Platform imports understand the structure of each source system, so fields map correctly without manual configuration.

Smart, Persistent Field Mappings

When you upload a CSV, Sodium intelligently analyses the column headers and automatically maps them to the corresponding fields in the system. Common variations are recognised out of the box — whether your file calls it "Company Name", "Client Name", or just "Name", Sodium works out where it should go.

If you import regularly — for example, a monthly client list update from an external system — you can save your field mappings for next time. The next time you upload a file with the same structure, your saved mapping is applied automatically. No need to re-map columns every time — just upload and go.

Service Import & Export

Bulk-assign billable services to your clients by uploading a CSV. Download a template pre-filled with your existing clients and services, fill in the prices and frequencies, and upload it back. Sodium shows you a preview of exactly what will be created or updated before you confirm.

Task Import & Export

Export your tasks to CSV — the full list, or just the statuses and date range you're interested in. Every row keeps its task code, so you can bulk-edit due dates, statuses or assignees in a spreadsheet and upload the file back to update the tasks in place rather than duplicating them. Rows without a code are created as new tasks, which makes the same file a ready-made template.

Switching from another system? Upload its task export and Sodium will recognise the format, ask you to match each assignee and status to yours, and convert the file for you. Anything without a matching field in Sodium — the original status, priority, client reference, progress notes — is preserved as a note on the task rather than dropped.

Getting Your Data Out

Everything above works in reverse, too. Export your clients, services and tasks to CSV at any time — standard fields, custom fields, the lot.
