When you connect an email integration, you can choose to also use it for receiving emails — not just sending. Enable this and your mailbox becomes accessible directly inside Sodium, with features built specifically for practice management.

Your Mailbox, Inside Sodium

After you've connected your email via Microsoft 365 or Google Workspace, you can access your mailbox directly within the application — no need to switch between Sodium and Outlook or Gmail. Browse conversations, read messages, and reply without leaving your workflow. Emails are synced automatically and you can trigger a manual sync at any time.

Marking an email as read or unread in Sodium syncs back to your email provider, so everything stays in step.

Multiple Mailboxes

Connect as many mailboxes as your practice needs. A partner's personal inbox, a shared info@ address, a dedicated tax@ mailbox — each one is connected independently, and everything below works across all of them.

Map Senders to Clients

Create rules that associate email addresses or entire domains with specific clients. When you're looking at an email from a recognised sender, you're a single click from the related client record. For unmatched senders, Sodium will suggest matches based on the client's own email address and their linked contacts, so setup is fast.

Rules can match by email address or by domain — so every email from a company maps to the right client automatically.

Client Email Tab

Every client record has a dedicated email tab that shows all conversations associated with that client — regardless of which mailbox the emails were sent to or received from. Search, filter by direction, and reply directly from the client's record.

If you connect multiple mailboxes, the client email tab aggregates across all of them, so you get the complete picture in one place.

Fulfil Document Requests from Email Attachments

When a client sends you documents by email and they have an open document request, you can move those attachments directly into the request with a single click — no downloading, renaming, or re-uploading required. The attachment is filed against the correct client and request automatically.

This bridges the gap between clients who respond to document requests via the client portal and those who simply reply by email.
