Bulk Email

A deadline is coming up. Your fees are changing. There's news the whole client base needs to hear. Bulk Email lets you write one message and send it to every client that matters — each one personalised, addressed to the right contacts, and sent from your own practice email address.

One Email, Personalised for Every Client

This isn't a BCC blast. Each client receives their own copy, rendered with their own details. Write {{ Client.Name }} once and every recipient sees their company name; the same goes for contact names, reference numbers, statutory dates, and any other client data you can insert as a token.

Compose the email from scratch in the familiar composer, or start from one of your reusable content blocks and tweak it for this send. Either way, you see exactly what you're sending before it goes anywhere.

Choose Your Audience in Seconds

Send to all active clients, to a saved view — "VAT-registered limited companies", "Payroll clients", whatever segments you've already built — or filter the client list and untick anyone who shouldn't receive it.

Saved views are applied when the email is sent, so an audience like "clients on the Gold package" is always current. You can also start a bulk email straight from the clients list or a saved view page with the audience already selected.

The Right People at Each Client

Decide who the email goes to at every client: just the main contact, every contact with an email address, or your own combination — contact types like billing or payroll, team members such as the client's manager or partner, extra addresses, and Cc/Bcc.

Duplicate addresses are removed automatically, and clients with no usable email address are skipped and reported — never silently lost.

Contact Preferences, Respected

Some clients haven't agreed to be contacted by email. Sodium tracks that preference on every client record — and if your audience includes anyone who hasn't opted in, the wizard stops and asks what to do: skip them, or include them anyway for essential service messages like deadline reminders.

It's a deliberate choice, made visibly, every time — the kind of audit-friendly behaviour UK practices need under PECR and GDPR. Preferences themselves can be set in bulk from the clients list.

Preview, Test, Then Send

Before anything is sent, preview the email exactly as any individual client will receive it — tokens rendered, recipients resolved. Send a test copy to your own inbox to check it in a real email client.

When you hit send, you watch it happen: live progress, a per-client log of sent, skipped, and failed — with reasons — and the option to cancel remaining sends mid-flight.

From Your Mailbox, On the Record

Bulk emails are sent from your own connected email account — Microsoft 365 or Google Workspace — so they come from your practice's address and replies land back in your mailbox, linked to the client.

Every send is also recorded on the client's timeline, so anyone opening the record later can see exactly what was sent and when — no more "did we tell them about the deadline?"
